Sunset Sound Cottage keeps the guest conversation without replacing its booking tools
Pulse acts as the communication layer around Sunset Sound's OTA and direct-booking systems, turning missed calls into organized guest conversations with a clear next step.

The gap around the booking tools
This is how Sunset Sound Cottage ran Pulse Enterprise around the booking systems it already used. It describes the deployment, not measured call volumes or revenue.
Sunset Sound Cottage, LLC operates a short-term vacation rental that accepts stays through online travel agencies and its own direct-booking site. Guests do not follow office hours. They call with questions before booking, arrival issues after a long drive, and requests that need a quick answer during a stay.
The company already has systems for listings, reservations, and direct booking. The gap is what happens around those systems when a call goes unanswered.
Pulse Enterprise gave Sunset Sound one communication layer for missed calls, guest questions, staff handoff, direct-booking links, service updates, approved payment requests, and post-stay review requests. It does not replace the OTA or booking engine. It makes sure a guest conversation does not disappear between them.
Every missed call needs a different next step
A missed call can mean several different things for a vacation rental:
- A prospective guest wants to confirm dates, occupancy, or a property policy before booking directly.
- An arriving guest cannot find an approved check-in instruction.
- A current guest needs help with Wi-Fi, parking, climate controls, or another routine question.
- A lockout, active leak, smoke or carbon-monoxide concern, or other urgent issue needs a person immediately.
- A past guest has a billing question or needs a receipt.
Treating every missed call the same creates two failures. Routine questions pull the owner away from higher-value work, while urgent situations can wait too long for attention. A voicemail inbox records the problem, but it does not classify it, start a conversation, or make ownership clear.
Seven stages, one continuous guest conversation
- 1
A missed call becomes a text conversation
Sunset Sound keeps its existing business number. If a call is not answered, the call forwards to Pulse after the agreed ring interval. Pulse sends a branded text-back, then the caller hears that a text was sent. Recording and transcription stay disabled during the current Pilot program.
Example message
Sorry we missed your call, this is Sunset Sound Cottage. Are you looking to book a stay, or do you need help with a current reservation? Reply STOP to opt out.
- 2
Pulse gathers the details needed for the next action
The conversation asks for only the information appropriate to the request, such as preferred stay dates, party size, booking channel, and the reason for the call. Pulse answers routine questions only from Sunset Sound's approved property information and policies.
The conversation is tagged by intent and urgency. A direct-booking inquiry can continue automatically. An existing guest issue can be routed to the on-call person. Safety-related language, lockouts, active leaks, and other defined exceptions immediately pause automation and escalate to a human.
- 3
Booking interest goes to the system built for reservations
Pulse does not calculate nightly inventory or confirm a lodging reservation on its own. When a guest was ready to book directly, Pulse sent a branded link that opened Sunset Sound's existing direct-booking engine. Pulse records the handoff. A booking is marked confirmed only after a verified booking event or staff confirmation.
The persistent Sunset Sound page can also present verified contact information, approved property details, the direct-booking action, and a clear way to call for help. Private reservation details remain behind customer-specific links and appropriate verification.
- 4
The right person takes over urgent or unusual requests
When a conversation needs judgment, Pulse alerts the owner or on-call contact with the request type, urgency, and a secure link. The first eligible team member to claim the conversation becomes its owner, and automated replies pause.
This gives the guest one continuous conversation while making responsibility clear behind the scenes. The owner can see what Pulse already collected instead of asking the guest to repeat the problem.
- 5
Guest-service requests stay visible through resolution
Routine operational requests can move through four clear stages: request received, staff assigned, help on the way, and resolved.
At first, Sunset Sound updates these stages manually. Each real stage change can send an approved guest update, while dates, prices, safety guidance, and other sensitive commitments require a trusted source or human approval.
- 6
Approved payment requests stay in the conversation
For a legitimate direct-booking balance or approved ancillary charge, an authorized person reviews the recipient and amount before Pulse creates a Stripe-hosted invoice link. Stripe processes the payment, and Pulse reflects the verified invoice status in the conversation.
Pulse does not collect OTA payments, calculate lodging rates, automate deposits or refunds, or act as the merchant of record.
- 7
Completed stays can lead to a compliant review request
After a verified stay completion, Pulse can send Sunset Sound's approved Google review link. Every eligible guest receives the same destination. Pulse does not screen guests by sentiment, divert negative feedback, or claim a review was posted when it can verify only delivery and link activity.
The takeaway
One reliable conversation around the systems Sunset Sound already uses
What the owner actually sees
Sunset Sound gets an operational view of the conversations that require action, not another vanity dashboard. The owner can see:
The result is one timeline for the guest conversation, even when the booking, payment, and property operations still belong to specialized systems.
- Missed callers reached and delivery failures
- Booking inquiries, current-guest questions, and urgent issues
- Conversations waiting for staff ownership
- Direct-booking link activity and bookings confirmed by a trusted source
- Open and resolved guest-service requests
- Approved invoice status
- Review requests sent and links opened
- Secure staff takeover links that pause automated replies
Operational depth for a single property
Sunset Sound does not need multiple locations to benefit from Enterprise. The plan supports the branded business page, customer-specific action links, human-approved payment links, configurable request stages, expanded routing, and the operational controls needed for guest communications.
The value is not replacing every tool. It is making the handoffs between calls, texts, people, and those tools reliable.
These are intended workflow outcomes, not measured Sunset Sound results.
- Missed callers receive an immediate path forward instead of reaching a dead voicemail inbox.
- Routine questions use approved answers, while defined urgent issues reach a person quickly.
- Direct-booking interest moves into Sunset Sound's existing booking engine without Pulse making unsupported inventory promises.
- The owner sees who owns each conversation and what the guest has already said.
- Guest-service requests and follow-ups remain visible until they are resolved.

The handoffs between a call, a text, a person, and a booking system are where guest conversations get lost. Keeping one thread across all of them is the part that made this work.
